The Midlife Chrysalis Retreat Cancellation & Refund Policy

At The Midlife Chrysalis, we understand that life is unpredictable and circumstances sometimes change. Our retreats are intentionally designed as intimate experiences with limited accommodations, personalized programming, and advance commitments to lodging, meals, and retreat services.

To ensure fairness to all participants and allow us to plan responsibly, we have established the following cancellation and refund policy.

Please review this policy carefully before registering.

1. Retreat Dates and Location

This policy applies to the following scheduled retreats:

Spring Retreat: March 4–7, 2027

Fall Retreat: September 30–October 3, 2027

Location: Lava Hot Springs, Idaho

This policy also applies to future Midlife Chrysalis retreats unless different cancellation terms are expressly provided at registration.

2. Registration and Nonrefundable Deposit

A $250 deposit is required to reserve a space at The Midlife Chrysalis Retreat.

The deposit:

Is applied toward the total retreat package price.

Reserves a space in the selected retreat and accommodation category, subject to confirmation of availability.

Is nonrefundable if the participant voluntarily cancels, except where otherwise required by law.

Is included in the total package price and is not an additional fee.

The nonrefundable deposit requirement applies whether a participant pays the $250 deposit initially or pays the entire retreat package price at registration.

Registration is confirmed when payment is successfully processed, the selected accommodation is available, and the participant receives a confirmation from The Midlife Chrysalis.

3. Participant Cancellation and Refund Schedule

If you need to cancel your retreat reservation, the following refund schedule applies.

90 Days or More Before the Retreat

Participants who cancel 90 or more calendar days before the retreat start date will receive a 100% refund of all payments made, excluding the $250 nonrefundable deposit.

60–89 Days Before the Retreat

Participants who cancel between 60 and 89 calendar days before the retreat start date will receive a 75% refund of payments made above the $250 nonrefundable deposit.

30–59 Days Before the Retreat

Participants who cancel between 30 and 59 calendar days before the retreat start date will receive a 50% refund of payments made above the $250 nonrefundable deposit.

Less Than 30 Days Before the Retreat

Cancellations received fewer than 30 calendar days before the retreat start date are not eligible for a refund.

The $250 deposit remains nonrefundable for participant-initiated cancellations in every refund period, except where otherwise required by law.

Refund percentages apply only to amounts actually paid above the deposit, not to the total unpaid package price.

4. Payment Plans and Outstanding Balances

Participants who select a deposit or installment payment option remain responsible for the payment terms accepted during registration.

The remaining balance must be paid by the payment deadline stated in the registration confirmation or payment agreement.

For the scheduled 2027 retreats, the anticipated final balance deadlines are:

Spring Retreat: January 4th, 2027

Fall Retreat: July 20th, 2027

If a participant cancels before completing payment, any eligible refund will be calculated using the amount already paid and the cancellation schedule above.

If a participant fails to make a required payment, The Midlife Chrysalis will provide written notice and an opportunity to resolve the outstanding balance before canceling the reservation.

If the reservation is canceled for nonpayment, amounts already paid will be subject to the cancellation policy applicable on the effective cancellation date, except where otherwise required by law.

Any remaining payment obligation after cancellation will be governed by the participant's applicable payment agreement.

5. How to Request a Cancellation

All cancellation requests must be submitted in writing to:

Please include: Your full name.

The retreat date for which you registered.

A statement requesting cancellation.

Your preferred contact information.

The effective cancellation date is the calendar date on which The Midlife Chrysalis receives your written request.

Cancellation deadlines are calculated using the retreat's scheduled start date and Mountain Time.

Verbal cancellation requests alone are not sufficient.

We will acknowledge receipt of your cancellation request and communicate the applicable refund amount.

6. Refund Processing

Approved refunds will generally be initiated within 10 business days after the cancellation request has been reviewed and the refundable amount has been determined, or sooner when required by law.

Refunds will ordinarily be returned to the original payment method.

Additional processing time may be required by banks or payment providers.

If the original payment method is unavailable, we will coordinate an appropriate alternative refund method.

No refund will exceed the amount actually paid by the participant.

7. Illness, Personal Emergencies, and Unexpected Circumstances

We recognize that illness, family emergencies, unexpected work obligations, transportation difficulties, and other circumstances may prevent attendance.

Because retreat accommodations and services are reserved in advance, participant cancellations resulting from these circumstances are generally subject to the same refund schedule.

Requests involving exceptional circumstances may be reviewed individually at the discretion of The Midlife Chrysalis.

Any exception must be confirmed in writing. An exception granted to one participant does not establish a general change to this policy.

Nothing in this section limits rights provided by applicable law.

We encourage participants to consider travel insurance that may cover qualifying trip cancellations or interruptions.

8. Reservation Transfers

Participants who are unable to attend may request to transfer their reservation to another eligible adult.

Transfers are subject to:

Advance written approval from The Midlife Chrysalis.

Availability and suitability of the reserved accommodation.

Completion of registration documents by the replacement participant.

Agreement by the replacement participant to all applicable retreat policies.

Transfers must be requested at least 14 calendar days before the retreat begins.

The Midlife Chrysalis is not responsible for locating a replacement participant.

Any private reimbursement arrangements between participants are their responsibility.

A reservation transfer is not guaranteed until approved in writing.

9. Changing Retreat Dates or Accommodations

Participants may request a change to another scheduled retreat date or accommodation category.

Changes are subject to availability and written approval.

Price differences may apply when changing accommodation categories.

Deposits and payments are not automatically transferable between retreat dates.

Any approved transfer, payment credit, or revised payment schedule will be confirmed in writing.

10. Late Arrivals, Early Departures, and Unused Services

Participants who arrive late, depart early, or voluntarily choose not to participate in scheduled activities are not entitled to a refund for unused portions of the retreat.

This includes unused accommodations, meals, workshops, yoga sessions, and other included programming.

If a participant cannot attend a particular activity, we encourage them to communicate with the retreat organizer when appropriate.

11. Cancellation by The Midlife Chrysalis

In the unlikely event that The Midlife Chrysalis cancels a retreat entirely before it begins, participants will receive a full refund of all payments made directly to The Midlife Chrysalis for that retreat, including the $250 deposit.

Participants may be offered the option of transferring their registration to another retreat, but accepting a transfer is voluntary.

If a participant declines the transfer, a full refund will be provided.

The Midlife Chrysalis is not responsible for independently booked airfare, transportation, personal travel expenses, or other third-party purchases, except where required by applicable law.

We strongly recommend waiting for retreat confirmation before making nonrefundable travel arrangements.

12. Changes to Retreat Schedule, Activities, or Venue

The Midlife Chrysalis reserves the ability to make reasonable adjustments to the retreat schedule, instructors, meals, activities, or accommodations when necessary for safety, logistics, or circumstances beyond our control.

We will make reasonable efforts to provide a comparable experience and communicate material changes promptly.

If a material change substantially alters the purchased retreat experience, participants will be informed of available options, including refunds where appropriate or required by law.

Minor schedule adjustments do not automatically entitle participants to a refund.

13. Severe Weather, Natural Disasters, and Events Beyond Our Control

Events beyond our reasonable control may include severe weather, natural disasters, public health emergencies, government restrictions, unsafe travel conditions, facility closures, or other circumstances that prevent the retreat from proceeding safely.

Participant-initiated cancellations remain subject to the standard refund schedule unless applicable law requires otherwise.

If The Midlife Chrysalis is unable to provide the retreat as scheduled, we will communicate the available options, including rescheduling or refunds, consistent with our organizer-cancellation obligations and applicable law.

Participant safety will remain a priority in decisions affecting retreat operations.

14. Minimum Enrollment

The Midlife Chrysalis retreats require sufficient enrollment to provide the intended group experience and support the costs of accommodations, meals, and programming.

If minimum enrollment is not reached and The Midlife Chrysalis elects to cancel the retreat, all participant payments, including deposits, will be refunded in full.

We will make reasonable efforts to notify participants promptly and provide adequate advance notice whenever possible.

15. Participant Conduct and Safety

The Midlife Chrysalis is committed to maintaining a respectful, supportive, and safe environment.

Participants are expected to respect fellow guests, facilitators, property rules, and reasonable safety instructions.

Serious misconduct, harassment, threats, or behavior creating a significant safety risk may result in removal from the retreat.

Any refund following removal will be evaluated based on the circumstances, services already provided, applicable agreements, and legal requirements.

16. Travel Insurance

We strongly encourage participants to consider purchasing travel insurance appropriate to their circumstances.

Depending on the policy purchased, coverage may be available for certain illnesses, family emergencies, travel disruptions, or other qualifying events.

The Midlife Chrysalis does not provide travel insurance and does not guarantee coverage or reimbursement from any insurance provider.

Participants are responsible for reviewing insurance terms, exclusions, and eligibility requirements.

17. Acknowledgment and Agreement

By completing registration and submitting payment, participants acknowledge that they have been provided access to this Cancellation & Refund Policy and agree to its terms, subject to applicable law.

Participants are encouraged to retain a copy of the policy and their registration confirmation for their records.

This policy does not waive or restrict any consumer rights that cannot legally be waived.
